Position: YS Chamber Events Coordinator (Part-Time)
Reports To: Executive Director, Yellow Springs Chamber of Commerce
Commitment: Part-time, approximately 15 hours per week
Compensation: $16.50/hr | negotiable based on experience

Position Description
The Yellow Springs Chamber of Commerce is seeking a highly organized and proactive Part-Time Event Coordinator to provide support for anniversary events such as YS Street Fair, and other YS Chamber growth initiatives. The Coordinator will work closely with the Executive Director and other stakeholders to assist in building new relationships and maintaining existing ones within the community. The role requires flexible hours, including some evenings and weekends, particularly leading up to the Street Fair, as well as mandatory in-person meetings as needed and full availability the day before and the day of the event. Including other duties as assigned, the Coordinator’s responsibilities also involve some physical activity, such as managing event setup and teardown.
Event Management and Planning
- Oversee the detailed planning and execution of Yellow Springs Chamber events, including but not limited to Street Fair, ensuring seamless logistics, scheduling, and event-day coordination.
- Develop and maintain schematics and layouts for vendor booths, festival areas, and traffic flow, ensuring all event components comply with safety regulations and enhance attendee experiences.
- Collaborate proactively with municipal authorities for permits, street closures, security, and public services.
- Manage setup and teardown activities, ensuring vendors, partners, and volunteers are well-coordinated and timelines are met.
- Demonstrate strong time and task management skills, consistently meeting deadlines and anticipating potential challenges to maintain event quality.
Public and Stakeholder Communication
- Serve as the primary point of contact for vendors, partners, and the public, handling inquiries and ensuring clear, proactive communication regarding logistics and requirements.
- Prepared to represent the Chamber at in-person meetings with the board, village officials, and other stakeholders to ensure alignment with community goals and policies.
- Maintain accurate documentation, including applications, payments, compliance records, and agreements.
- Coordinate regularly with the Executive Director (ED) on updates, challenges, and approvals related to vendor arrangements and event logistics.
Attention to Detail and Execution
- Ensure precise attention to detail in event schematics, booth layouts, and vendor placement to maximize efficiency and visitor experience.
- Conduct post-event evaluations to assess success, gather partner and participant feedback, and identify areas for improvement.
Required Skills and Qualifications
- Experience: Experience in event planning, project management, or a related field
- Organization: Exceptional organizational and time-management skills, with the ability to manage multiple priorities, anticipate needs, and meet deadlines.
- Proactivity: A forward-thinking approach to problem-solving, ensuring events are executed smoothly with minimal disruptions.
- Communication: Strong written and verbal communication skills, including experience with vendor outreach, documentation, and stakeholder coordination.
- Attention to Detail: Demonstrated ability to manage complex schematics and ensure accuracy in all logistical plans.
- Technology Proficiency: Skilled in event management software, Microsoft Office Suite or Google Workspace, and digital communication tools.
- Teamwork: Ability to collaborate effectively with the Executive Director, vendors, and community partners.
- Commitment: Flexibility to attend in-person meetings and adjust hours as needed, especially leading up to larger events like Street Fair, with mandatory availability the day before and the day of major events.
Preferred Skills
- Familiarity with Yellow Springs and its unique culture and community.
- Experience working with municipalities or community organizations.
- Creativity and a passion for event innovation and community building.
- Understanding of marketing elements including strategy, and social media platforms with comfortability executing marketing campaigns
